DEPOSITS & PAYMENT POLICY

Safari Services:  A deposit of 25% is due at the time of booking. Your final balance will be due sixty days prior to your departure date.

Airfare Services:  Any airfare purchased via Odyssey Safaris requires a 100% payment at the time of ticketing; the refund, change policies and fees are at the discretion of the airline and noted in the terms of carriage.  

Cancellation Policy: Should you need to cancel your trip with Odyssey Safaris, cancellations received by Odyssey Safaris 60 days or more prior to departure are subject to a $500 trip cancellation fee; cancellations received 59–30 days prior to departure are subject to a fee of 25% of the total retail tour rate; 29–15 days is 50% of the tour rate. Cancellations received 14 days or less are subject to a 75% cancellation fee and less than 7 days is 100% cancellation fee. Trip cancellation insurance is strongly recommended. For any airfare the terms of carriage will apply. Absent this, a 100% cancellation charge applies to any international or internal air canceled or unused after ticketing unless otherwise specified.

CHANGE POLICY: Should you need to reschedule your trip with Odyssey Safaris, we will allocate 100% of your payments as a credit for any future adventure, with no expiration date. This credit is available minus any change fees charged by our vendors. Please note, for changes made within 60 days of departure, our cancellation policy will apply. Additionally, any changes involving domestic or international air tickets will be subject to the specific carrier's policy.

Covid Cancellations: Cancellations due to Covid exposure to the traveler or a change in travel conditions at the destination are covered by major travel insurance policies and are subject to the normal terms and conditions set out above. Covid testing is no longer required for vaccinated travelers to enter the destinations we serve or to depart/return to the United States.

PAYMENT OPTIONS:  ODYSSEY SAFARIS accepts checks, wire transfers and all major credit cards.  For payments made via check or wire transfer, our guests receive a 1% rebate check on completion of their safari.

Please allow extra time to process check payments; ODYSSEY SAFARIS is not responsible for delays or cancellations due to errors in payment processing.

PRICES AND ARRANGEMENTS:  Quoted program prices include planning, handling and operational charges, and are based on current rates of exchange, tariffs and taxes as of January 2023.  ODYSSEY SAFARIS reserves the right to increase tour prices to cover increased costs, tariffs and taxes received after prices are published, and to reflect fluctuations in foreign exchange markets. ODYSSEY SAFARIS is under no obligation to give breakdown costs involved in any tour program. Modification of tour content to accommodate a smaller group size will affect published tour price.

CLAIMS AND REFUNDS:  Refunds are not made for any missed services, except for verifiable extenuating circumstances. For verifiable claims to be considered, they must be received in writing within 30 days of the termination of the program and be accompanied by supporting documentation and/or a statement from the Operating Company verifying the claim. Any adjustment considered will be based on the actual price of the services involved and not on a per diem basis. Adjustments will not be made for unused sightseeing trips or meals. ODYSSEY SAFARIS will not accept any liability for any claims that are not received within 30 days of the termination of your travel program. All claims for days missed while traveling should be made in writing within 30 days of the termination of the program.

ITINERARIES:  Accommodations (hotel or vessel) and arranged sightseeing are subject to change at any time due to unforeseen circumstances or circumstances beyond ODYSSEY SAFARIS’s control. Every effort will be made to operate tours as planned, but alterations may occur after the final itinerary has been issued. ODYSSEY SAFARIS also reserves the right to withdraw a tour or any part of it, to make such alterations to the itinerary or the tour inclusions as it deems necessary or desirable, and to pass on to tour members any expenditures or losses caused by delays or events beyond its control.

SPECIAL REQUESTS:  Specific requests such as adjacent or connecting rooms, bedding requests, smoking or non-smoking rooms and special dietary needs should be advised at time of booking. Please note that every effort will be made to secure your special request; however, they cannot be guaranteed.

ACTIVE ELEMENTS:  On specified programs some active elements have been incorporated into the itinerary. To enjoy the program as intended, a minimum level of fitness is required. The required level would be equivalent to what is obtained by routine daily exercise such as golf, jogging, energetic walking, tennis, etc. Activities during the program could include (but are not limited to) hiking, off-road walking, walking on uneven steep or cobbled streets, horseback riding, high altitude trekking, off-road mountainous driving and navigating uneven terrain. ODYSSEY SAFARIS, therefore, will require notice if any participant has any physical or other condition or disability that could create a hazard to himself or herself or to other members of the tour. If the minimum level of fitness is not met for the program selected, ODYSSEY SAFARIS reserves the right to decline to accept anyone on the trip. ODYSSEY SAFARIS also reserves the right to remove from the trip, at the participant’s own expense, anyone whose condition is such that it could create a hazard to him or herself or others, or otherwise impact the enjoyment of other passengers on the trip. Should you have any questions or need any clarification about a specific tour please ask for details at time of booking.

BAGGAGE:  Tour prices include the handling of two pieces of baggage per person. Weight restrictions on some routes on internal air flights may apply; details will be provided with preliminary tour documentation. Baggage and personal effects are at owner’s risk throughout the travel program. Please check with your international carrier for other baggage restrictions applicable to your international flights.

CHILD POLICY:  Unless indicated on the individual tour page, there is no minimum age requirement. However, some activities contained within a tour may have a different age restriction than the overall minimum age requirement. Details will be provided at the time of booking.

INSURANCE: ODYSSEY SAFARIS highly recommends that you obtain the following types of travel insurance that cover medical emergencies, evacuation, loss of personal items, repatriation, and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience occurring to you:

  1. A) Emergency Evacuation

  2. B) Major Medical

  3. C) Accidental Death and Disability

  4. D) Loss of Personal Effects

You must purchase Trip Cancellation Insurance at or before the time of booking the tour, in order to be covered against any financial losses, in the event you are  not able to do the trip, for whatever reason. 

TRAVEL DOCUMENTS AND VACCINATIONS:  You assume complete and full responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination and all safety or security conditions at such destinations. It is your responsibility to ensure that passports, visas, travel permits, health certificates, inoculations, international driving license, or other documentation required for the trip are obtained and are in order. It is your responsibility to meet any additional costs incurred by yourself or by ODYSSEY SAFARIS on your behalf as a result of any failure by you to comply with such requirements. Anti-malaria precautions should be commenced prior to departure. Please consult your physician for more details. Safari clients should bring their own insect repellent as this may not be available in the camps. ODYSSEY SAFARIS may provide information or advice given on visas, vaccinations, climate, clothing, baggage, special equipment, etc. in good faith as a courtesy to you. ODYSSEY SAFARIS  is not responsible for any errors or omissions as to the information provided.

AIR TRANSPORTATION:  Sample air prices are shown, please note that THESE ARE SPECIAL ODYSSEY SAFARIS PROMOTIONAL FARES, WHICH CANNOT BE COMBINED WITH ANY OTHER PROMOTIONAL OFFER AND ARE SUBJECT TO AVAILABILITY. Fares are also available from other major U.S. cities. Taxes are not included. All international and internal air quotes are subject to change and can carry penalties and surcharges, until final payment has been received by ODYSSEY SAFARIS. Flight confirmation is based on availability. PLEASE NOTE THAT CERTAIN AIRFARES ARE SUBJECT TO A SERVICE FEE. Should you cancel or change your air reservation before or after your departure, cancellation penalties may apply. Air reservations will not be confirmed until a passport copy is received by ODYSSEY SAFARIS. ALL AIRFARES AND CONDITIONS THEREOF ARE THOSE IN EFFECT AS OF JANUARY 2023 AND ARE SUBJECT TO CHANGE UNTIL FINAL PAYMENT FOR YOUR TOUR HAS BEEN RECEIVED BY ODYSSEY SAFARIS.

Airlines concerned are not to be held responsible for any act, omission or event during the time passengers are not on board their planes or conveyances. These programs may use the services of any IATA carrier. International air carriers are subject to international air conventions limiting their liability. The limitations of liability are contained on the reverse side of the airline ticket or e-ticket receipt, or on the carrier’s website, and form part of the terms and conditions of this package. The passage contract in use by these companies, when issued, shall constitute the sole contract between the companies and the purchaser of these travel programs and/or passage.

PHOTOGRAPHY DURING TRAVEL:  Odyssey Safaris reserves the right to take photographs during the operation of any program or part thereof and to use them for promotional purposes. By booking a program with ODYSSEY SAFARIS, program members agree to allow their images to be used in such photographs. Program members who prefer that their images not be used are asked to identify themselves to their Tour Director at the beginning of their program.

LIMITS ON ODYSSEY SAFARIS’s RESPONSIBILITY:  Odyssey Safaris LLC., its employees, shareholders, officers, directors, successors, agents and assigns (collectively ODYSSEY SAFARIS), owns its vehicles and employs staff explicitly identified as employees, ODYSSEY SAFARIS does not own or operate all of the entities which is to or does provide goods or services for your trip. It purchases transportation (by aircraft, train, vessel or otherwise), hotel and other lodging accommodations, restaurant, and other services from various independent suppliers. All such persons and entities are independent contractors. As a result ODYSSEY SAFARIS is not liable for any negligent or willful act of any such person or entity or of any third person.

In addition and without limitation, ODYSSEY SAFARIS is not responsible for any injury, loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, illness, disease, acts of war, civil unrest, insurrection or revolt, animals, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time.

There are certain inherent risks in adventure travel of the type involved here. These include, but are not limited to, risks of white water rafting, kayaking and rafting (for example dangers of rapidly moving water, rocks and other submerged objects, hypothermia, etc), horseback riding, (for example, unpredictable behavior by the horses, being spooked, etc) hiking, walking safaris, (for example, equipment failures, ice or other trail obstructions) and in all trips dangers of animals, inaccessibility to medical attention and difficulty in evacuation from remote locations in the case of a medical emergency. Passenger assumes all such risks with regard to these possibilities.

FORCE MAJEURE: “Force Majeure” means, in relation to ODYSSEY SAFARIS, any circumstances beyond the reasonable control of ODYSSEY SAFARIS (including, but without limitation, acts of God, explosion, flood, tempest, fire or accident, war or threat of war, sabotage, insurrection, civil disturbance, or requisition, sickness, quarantine, government intervention, weather conditions or other untoward occurrences). If ODYSSEY SAFARIS is affected by Force Majeure it shall forthwith notify you of the nature and extent thereof. ODYSSEY SAFARIS shall not be deemed to be in breach of these terms and conditions or otherwise be liable to you, by reason of delay in performance, or by non-performance, of any of its obligations hereunder to the extent that any such delay or non-performance is due to any Force Majeure. If ODYSSEY SAFARIS is affected by Force Majeure it shall be entitled to, and may in its sole and absolute discretion, vary or cancel any itinerary or arrangement in relation to the trip. We must normally make substantial and non-refundable payments to its suppliers far in advance of the scheduled departure date. As such, payment of any refund by us to you as a result of the non-performance of any obligations will be less any non-refundable deposits and third party cancellation fees. Further, we shall be entitled to deduct from any refund recoverable the reasonable actual costs to ODYSSEY SAFARIS of the Force Majeure.

TRAVEL ADVISORIES AND WARNINGS:  It is the responsibility of The Traveler to become informed about the most current travel advisories and warnings by referring to the U. S. State Department’s travel website at www.travel.state.gov/ or by phone at 1-888-407- 4747 . In the event of an active State Department Travel Warning against travel to the specific destination location(s) of the trip, should The Traveler still choose to travel, notwithstanding any travel advisory or warning, The Traveler assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against.

AMENDMENTS: ODYSSEY SAFARIS reserves the right to update and/or alter these terms and conditions at any time, and shall post the updated terms and conditions on its website at https://www.odysseysafaris.com/ (“ODYSSEY SAFARIS website”). Any such amendment shall take effect 10 calendar days following their posting to ODYSSEY SAFARIS website. You may access the most current terms and conditions at any time on ODYSSEY SAFARIS website or by sending an email to your assigned travel consultant with the following in the subject line: “Request for Current Terms and Conditions of Booking”. Travelers shall be deemed to have accepted any amendments to these terms on the date that they take effect, i.e., 10 calendar days following their posting on ODYSSEY SAFARIS website. ODYSSEY SAFARIS recommends that all travelers review and familiarize themselves with the latest terms and conditions on ODYSSEY SAFARIS website prior to their trip. 

ARBITRATION AGREEMENT:  Any controversy or claim arising out of or relating to these TERMS AND CONDITIONS, to the LIMITS ON ODYSSEY SAFARIS’ RESPONSIBILITY clause, to the brochure, to any information relating in any way to the trip, to the trip itself, or to any products or services related to the trip, shall be settled solely and exclusively by binding arbitration in Hartford, Connecticut, in accordance with the Commercial Arbitration Rules of the American Arbitration Association, except that (a) in lieu of a personal appearance at arbitration, the arbitration may be conducted by telephonic means, (b) arbitration is the exclusive forum for dispute resolution (no court actions), and (c) except as otherwise provided by statute, each party shall bear its own costs and expenses and an equal share of the arbitrator and administrative fees.

TRAVELERS REPRESENTATIONS:  The Traveler represents that neither he nor she nor anyone traveling with him or her has any physical or other condition or disability that could create a hazard to him or herself or other members of the tour. ODYSSEY SAFARIS reserves the right to decline to accept anyone on a trip. ODYSSEY SAFARIS reserves the right to remove from the trip, at his or her sole expense, anyone whose condition is such that he or she could create a hazard to himself or others, or otherwise impact the enjoyment of other passengers on the trip.

ANY PAYMENT TO ODYSSEY SAFARIS CONSTITUTES YOUR ACCEPTANCE OF THE TERMS AND CONDITIONS SET OUT HEREIN AND IN MORE SPECIFIC PRE-DEPARTURE PASSENGER DOCUMENTATION, INCLUDING THE PASSENGER INFORMATION FORM.
